One of the service innovations now introduced is the Online Equipment Rental System for the facilities in the General Lecture Building. This system is designed to make it easier for students to check equipment availability, submit rental requests, and follow the verification and approval process more practically.

The presence of this system is part of an effort to optimize the management of equipment lending at the Faculty of Performing Arts, ISI Yogyakarta. This idea was developed through an actualization design titled “Optimization of Equipment Lending Management through the Development of a Digital-Based Equipment Availability Information System Integrated with the Approval Workflow at the Faculty of Performing Arts, Indonesian Institute of the Arts Yogyakarta.”

This actualization plan was prepared by Ecy Dwiasta Rosella, A.Md., a Skilled Education Laboratory Technician at the Yogyakarta Indonesian Arts Institute. The plan was disseminated in the Actualization Seminar for Basic Training of Civil Servants Grade II, Batch 2 of 2026, on Friday, April 24, 2026, from 10:15 AM to 11:00 AM WIB, held at the Grand Building for Governance Competency Development III. In this activity, Ecy Dwiasta Rosella was registered as a participant of Batch 2/Group 1 with attendance number 4.

For art campuses, tools are not just supporting facilities. They are an important part of the learning process, practice, artwork production, presentation, and performance. Within the Faculty of Performing Arts, academic and student activities often require planned and timely equipment support. Therefore, the management of equipment lending becomes a crucial aspect in ensuring that student activities can run smoothly.

Through this online system, students no longer need to rely entirely on manual processes to know if an equipment is available or has been used for other activities. Before submitting a loan request, students are required to first check the equipment's availability through the calendar provided within the system. This step is important so that every request is made based on clear information and reduces the potential for scheduling conflicts.

The borrowing process is designed to be simple and easy to follow. First, students check the availability of the equipment via the calendar. Second, if the equipment is available, students can fill out the borrowing request form online. Third, students await the verification and approval process from the administrator. With this workflow, the borrowing process becomes more orderly, documented, and easy to monitor.

This innovation demonstrates that digital transformation at ISI Yogyakarta is not only present in learning spaces, work publications, or institutional promotion, but also touches upon technical services directly related to student needs. The digitalization of equipment loan services helps build a more accountable administrative culture. Students gain independent access to initial information, while administrators have neater and more centralized application data.

Besides simplifying services, this system also reflects the contribution of apparatus in providing real solutions in the work environment. Through this actualization, the development of information systems is not merely an administrative task but also part of improving the quality of public services in higher education. This simple yet strategic innovation shows how the role of Educational Laboratory Coordinators can be expanded to support facility management, student services, and unit work effectiveness.

The presence of this system also encourages students to be more disciplined in planning activities. Before applying for a loan, students need to ensure their schedule, the type of equipment needed, and the readiness of the activity. Thus, this system not only simplifies the administrative process but also fosters a more professional work pattern among art students.

For the Faculty of Performing Arts, strengthening digital-based services is part of the effort to create an academic ecosystem that is responsive to the dynamics of student activities. Performing arts require practice space, collaboration, and adequate facility support. Through more organized services, students can better focus on the creative process, artistic exploration, and work development.

This Online Tool Rental System can be accessed by students through the link provided by the Faculty of Performing Arts at ISI Yogyakarta. In addition to system access, a user guide is also prepared so that students can understand the rental steps more easily.

With the presence of this service, the Faculty of Performing Arts at ISI Yogyakarta reaffirms its commitment to providing campus governance that is modern, efficient, and student-centered. This step is part of ISI Yogyakarta's spirit in building an adaptive, productive, and impactful art education environment.

SIKARSA: Information System for the Availability of Facilities and Infrastructure at the Faculty of Performing Arts.

Yogyakarta — Fakultas Seni Pertunjukan Institut Seni Indonesia Yogyakarta terus memperkuat kualitas layanan akademik dan kemahasiswaan melalui pemanfaatan teknologi digital.
